Privacy policy

Global Flight respects your privacy and handles personal information in line with the Protection of Personal Information Act (POPIA). This policy explains what we collect, how we use it, when we share it, and the choices available to you.

What information we collect for travel bookings

Global Flight collects personal information needed to arrange flights, accommodation, event travel and related support for business travellers and companies. This may include your name, identity or passport details, contact details, employer details, travel preferences, loyalty details where supplied, payment and invoice information, and records linked to booking amendments or cancellations.

We may also collect information from a traveller profile, approval workflow records, rooming lists, delegate arrival tracking, travel document checks and duty of care requests. Where you provide details about special needs or travel restrictions, we only use that information to support your booking and related service.

How we use personal information

We use personal information to manage bookings, confirm availability, issue travel documents, support after hours assistance, handle itinerary changes and maintain accurate reporting for corporate clients. We also use it to manage accounts, reconciling invoices, and to keep a clear record of authorisations, amendments and cancellations.

  • To provide flight, hotel and event travel arrangements
  • To communicate about changes, approvals and travel updates
  • To manage payment, billing and reporting requirements
  • To support traveller safety and duty of care obligations

We only process information that is reasonably necessary for these purposes and in line with your instructions or your employer's travel policy.

When we may share information

We may share limited personal information with airlines, accommodation providers, travel service suppliers, event venues, payment processors and other parties needed to complete your booking. We may also share information with your employer or travel approver when required for authorisation, reporting or traveller support.

Where cross-border travel is involved, your information may be sent to service providers outside South Africa. In those cases, we take reasonable steps to ensure the information is protected and used only for the booking or support requested. We do not sell personal information.

  • Only the information needed to complete the service is shared
  • Recipients are expected to use it for travel related purposes only
  • We may disclose information if required by law or a court order

Retention, security and record keeping

We keep personal information only for as long as it is needed for the travel service, business records, legal duties, tax requirements or dispute handling. Retention periods may vary depending on the type of booking and the records that must be kept for accounting or compliance purposes.

We use reasonable administrative and technical safeguards to protect personal information against loss, unauthorised access, alteration or disclosure. These measures are applied with the practical realities of business travel support in mind, including after hours handling, supplier coordination and invoice processing.

  • Access is restricted to staff who need the information to do their work
  • Records are kept in line with applicable legal and business requirements
  • We review data handling practices to reduce unnecessary exposure

Your rights under POPIA

You have the right to ask what personal information we hold about you, to request correction of incorrect details, and to object to certain processing where the law allows. You may also request that we delete information we are not required to keep, subject to legal and contractual obligations.

If you are a corporate traveller, your employer may control some travel records or approvals, while Global Flight processes information on its behalf for agreed services. If you believe any information is inaccurate or out of date, please let us know so we can review it and update the record where appropriate.

Queries, complaints and policy updates

Queries about this privacy policy or the way we process personal information should be directed through the enquiry form on our contact page. We will handle requests in line with POPIA and our internal procedures. Where a request involves a corporate account, we may need to verify the requester before disclosing or changing information.

This privacy policy may be updated from time to time to reflect legal, operational or service changes. The latest version will apply to information collected through our services. Operator: Astros Marketing (Pty) Ltd.
